Share Your Event Details

We start by learning what you’re planning and what success looks like for the day. We’ll ask about the type of event, your schedule, estimated attendance, and the venue layout or floor plan. If there are any site rules, access limitations, or timing constraints, we’ll factor those in early so there are no surprises.

We Create A Custom Quote

After we review the details, we build a quote based on the equipment your event actually needs, not a one-size-fits-all package. A 50% deposit is required at the time of contract signing to secure your date. Events booked within 30 days may be subject to a rush order fee. Payment can be made by check, credit card, or bank wire.

Day Of Show
Execution

On the day of your event, we arrive early to deliver and set up equipment according to the agreed schedule. We test systems before doors open so everything is ready when your guests arrive. The remaining balance is collected per the contract, and we handle load out at the pre-agreed time once the event concludes.

Can I rent equipment without booking staffing services?

Yes. We offer equipment-only production rentals as well as fully supported packages that include labor, operators, and on-site crew. If you already have in-house technicians, we can provide a clean handoff with a proper advance, production schedule, run of show (ROS), input list/patch list, and stage plot as needed, plus optional gear prep/shop prep and warehouse pull before load-in.

How flexible are your equipment packages?

Very flexible. We don’t force fixed bundles—we build custom package rates or line-item quotes based on your venue, audience size, technical rider requirements, and timeline. We may also work within a specific day rate, half-day rate, weekly rate (3-day week), discount structure, and margin/markup targets, and we’ll recommend alternatives to keep performance high without overspending.

Can you accommodate last-minute or short-notice events?

In many cases, yes. Availability depends on scope, staffing, and logistics like dock access, freight elevator availability, staging areas, truck pack timing, and turnaround windows. Rush or short-notice bookings may include a rush fee, after-hours fee, or holiday rate, and labor may require a minimum call (such as a 4-hour minimum), depending on the schedule.

Do you coordinate with venues or other vendors?

Yes. We coordinate directly with venues, planners, and other vendors using a shared production schedule, cue sheet, and BEO (Banquet Event Order) when applicable. We confirm access rules, load-in/load-out timing, strike plans, power distro needs, tie-in/cam-lock requirements, feeder cable runs, and generator (genny) options if shore power isn’t available.

Can you match equipment to an artist’s technical rider?

Yes. We regularly review technical riders and handle advancing to confirm the right gear, patching, and system design. If something isn’t available in-house, we can sub-rental specialty items to meet spec while still keeping the quote aligned with the budget and avoiding unnecessary line items.

What happens if equipment needs change close to the event date?

We understand that details change. When possible, we’ll adjust the scope and update your quote/estimate and invoice accordingly. Changes are subject to availability and may affect pricing, especially if they require additional warehouse pull, gear prep, extra labor call time, or expanded portal-to-portal labor coverage, plus overtime (OT), time-and-a-half, or double time depending on the hours worked.

Do you carry insurance and meet venue requirements?

Yes. We carry the appropriate coverage and can provide a COI (Certificate of Insurance) upon request. We can also supply standard paperwork such as a W-9, accept a Purchase Order (PO), and work under a contract/rental agreement, including technical and hospitality rider requirements where applicable.

How do you bill labor and crew time?

Labor is typically billed by day rate with a defined call time, and may include portal-to-portal depending on the job. Anything beyond the scheduled hours can trigger overtime (OT), time-and-a-half, or double time, and extended days may require additional per diem or travel day considerations for out-of-market work.

What should I have ready to get an accurate quote?

The fastest way is to share your event date, venue details, and a rough run of show (ROS). If you have a CAD, stage plot, input list/patch list, technical rider, and any venue documents like a BEO, we can dial in power distro, access, and staffing needs quickly and send a clean quote/estimate with clear line items or a package rate option.
