Simple & Straightforward

How Our Staffing Process Works

We make event production staffing straightforward and predictable with a clear, coordinated process. From the first conversation through strike, we focus on placing the right crew in the right roles so your event runs smoothly.

01

Share Your Event Details

We start by learning about your event type, schedule, venue, and production scope. This includes load-in and load-out timing, anticipated crew call lengths, venue rules, and any technical or logistical considerations that impact staffing levels and roles.

02

We Build a Staffing Plan and Quote

Based on your needs, we recommend the appropriate crew positions, quantities, and call times – whether that’s technical operators, department leads, or stage labor. Staffing is quoted based on the actual demands of your event, not preset bundles. A 50% deposit secures your date once confirmed. Short-notice bookings may be subject to rush or premium labor rates.

03

Day-Of-Show Execution

On show day, our crew arrives prepared and on time, ready to integrate with your production team and venue operations. We manage staffing flow, department coordination, and strike per the agreed schedule, ensuring efficient execution from load-in through load-out.

Why Choose Us

Why Customers Choose Seattle Entertainment Group for Production Staffing

Our approach to event production staffing is grounded in a clear understanding of how live events actually operate. Seattle Entertainment Group, led by Troy Wyatt, brings experience from both sides of the business, including talent buying through SeattleTalentBuying.com and production planning through GetAvails.com. That perspective shapes how we staff events – not as isolated labor calls, but as coordinated productions where every role contributes to the overall outcome.

Because we work directly with venues, agents, managers, and production teams across the West Coast and beyond, we understand how audio, video, lighting, staging, and logistics intersect on show day. Rather than staffing departments in silos, we coordinate across disciplines to anticipate challenges, streamline communication, and place crew where they add the most value. This approach helps avoid unnecessary positions while ensuring nothing critical is overlooked. We’re known for being dependable, organized, and easy to work with, with close attention to call times, load-in and load-out flow, department coordination, safety, and clear communication.

That coordination is backed by extensive, hands-on experience working with artists, bands, tour managers, and production leadership at every level. We’ve supported touring teams of all styles and temperaments, from high-pressure, tightly wound environments to methodical, long-established crews and newer teams touring with emerging performers. That range of experience matters because successful show days depend as much on communication and respect as they do on technical execution, especially when schedules compress or plans change.

Seattle Entertainment Group is also equipped to support productions at any scale, with access to both cost-conscious options and top-tier equipment across all major departments. This allows us to build staffing and production solutions that fit the moment, without forcing a one-size-fits-all approach or requiring clients to manage multiple vendors. We’re not always the cheapest, and we’re not the most expensive, but we are committed to being fair, transparent, and reliable – delivering a smooth, professional experience from the first call through final load-out.

Questions & Answers

FAQs – Event Production & Stage Labor Staffing

Can I book staffing without renting equipment from you?

Yes. We offer staffing-only support as well as full-service production packages. If you already have gear in place, are working with in-house crew / venue crew, or have a touring package arriving, our local crew / local labor can plug in cleanly and support your existing workflow. That includes everything from stagehands and deck hands to department heads like FOH Engineer (A1), Monitor Engineer, Lighting Director (LD), and V1 (Lead Video Engineer), plus specialized support roles such as Audio Tech (A2), Patch Tech, Stage Patch / Snake Tech, Lighting Tech, and Video Tech (V2). We can also provide production labor, technical labor, and stage labor without forcing an equipment rental.

How do you determine how many crew members are needed?

We build staffing based on what the event actually requires—venue type, audience size, stage complexity, load-in/load-out access, and the full production scope across audio, video, lighting, and staging. We also account for changeovers, camera/streaming needs, LED walls or projection, and any specialty elements like rigging points / motors, automation, followspots, or broadcast recording. Instead of preset bundles, we create a labor estimate that aligns with your run of show (ROS), stage labor breakdown, and the real-world flow of build, show execution, and strike.

Can your crew supplement an in-house or touring team?

Absolutely. We regularly support touring teams and venue operations by providing local crew / local labor that can step into established workflows without slowing anything down. That includes stagehands and push crew for load-in/load-out, riggers for points and motors, and department support like A2 / patch, V2 / LED tech, and L2/L3 lighting support. We understand how to follow touring protocols, work under department heads, respect show-call chain of command, and keep the day moving—even when timelines tighten or priorities shift.

Do your crews work with technical riders and production advances?

We support advancing the shows using technical riders, advancing documents, stage plots, input lists, patch lists, and power requirements, and we align staffing to the run of show (ROS), show call, and venue rules. For concerts, this includes building around backline needs and changeover realities. For corporate events, it includes presenter workflows, video playback, confidence monitors, and clean audio-for-speech clarity. We also coordinate house patch / house system integration and any necessary power distro / tie-in planning.

Are your technicians experienced with live broadcasts and streamed events?

With ease. We support broadcast-style workflows where video switching, clean audio routing, and stable playback matter as much as the in-room experience. On the video side, that can include camera operator(s), shader/CCU, V1/V2, LED wall tech, graphics operator, projectionist, and streaming engineer/broadcast engineer support. On the software side, we commonly work with Zoom, Microsoft Teams, Webex, Google Meet, OBS Studio, vMix, Wirecast, Livestream Studio, and Blackmagic ATEM Software Control. For playback and content, we often support Resolume Arena/Avenue, QLab, Mitti, PlaybackPro / PlaybackPro Plus, ProPresenter, PowerPoint, and Keynote. For higher-end media server and mapped content, we can support Disguise (d3), Hippotizer, Watchout, and TouchDesigner. We also support distribution and transport workflows including NDI Tools and SRT workflows when needed.

How are crew call times and labor hours billed?

Billing depends on the show, venue requirements, and labor structure. Common billing structures include hourly rate, minimum call, half-day / full-day rate, and portal-to-portal billing when travel or offsite work is involved. Depending on scope and schedule, overtime (OT), double time (DT), meal break rules, meal penalty, travel time, kit fee, and box rental (gear) may apply. We provide a clear labor estimate up front and finalize labor overage only when schedules extend beyond the agreed plan.

Do you provide crew leads or department heads?

Yes, especially for larger or more complex events, we can provide department leads and key crew such as a Production Manager (PM), Stage Manager, Deck Chief, Head Rigger, Lighting Crew Chief / Head Electrician, FOH Engineer (A1), Monitor Engineer, Systems Engineer/System Tech, V1, and a Technical Director (TD) / Switcher Operator. These roles help keep departments aligned, reduce miscommunication, maintain safety, and protect show quality from load-in through strike.

Can you handle last-minute or short-notice staffing requests?

In many cases, yes. If you have a last-minute add-on, changeover expansion, extra camera coverage, additional RF needs, or a surprise scenic element, we can often mobilize quickly. Short-notice requests may require rush order fees or premium labor pricing, especially for specialized roles like riggers, systems engineers, media server operators, or streaming engineers.

Are your crews familiar with venue rules and union environments?

Yes. Our team is experienced working under venue-specific policies, security rules, access limitations, and union labor / IATSE labor environments. We can coordinate with in-house crew / venue crew, third-party labor providers, and department heads to ensure everyone is aligned on who is doing what, when, and under which venue rules.

Do you carry insurance and meet venue staffing requirements?

Yes. We carry appropriate insurance coverage and can provide Certificates of Insurance (COIs) upon request. We can also provide W-9s, vendor onboarding documents, and support contracts or purchase orders as required by venues and corporate clients.

What happens if staffing needs change close to the event date?

We understand staffing needs evolve—new presenters, revised staging, added LED, extra followspots, more cameras, extended rehearsals, or changes to load-in/load-out access. When possible, we adjust crew size / headcount, update the stage labor breakdown, and align the labor estimate accordingly. Changes are subject to availability and may impact cost if additional crew, extended hours, or specialty roles are required.

Do your stagehands and riggers follow safety protocols?

Yes. Safety is non-negotiable. Our stage labor and rigging teams follow established safety practices for lifting, pushing, forklift/scissor lift operations, overhead rigging, motor operation, and strike procedures. Crew chiefs, deck supervisors, and safety leads help maintain safe workflows, and we coordinate fire watch when effects or special conditions require it.

Can you staff multi-day or touring productions?

Yes. We support multi-day conferences, festival weekends, residencies, and touring runs. We can provide consistent key crew and department heads while scaling local labor per day as needed, including loaders, push crew, audio hands, lighting hands, and video utilities. We also understand how to maintain show continuity across multiple days while respecting turnaround realities and department coordination.

What information should I have ready to get an accurate staffing quote?

The most helpful details include venue type, event date(s), estimated attendance, load-in/load-out plan, run of show (ROS), doors and show time, stage size, and the overall production scope across audio, video, lighting, and staging. If available, send your technical rider, stage plot, input list, patch list, power requirements, and any notes about streaming, recording, LED walls, projection, or special effects. Even if you don’t have everything finalized, we can start with a staffing plan and refine it as details lock in.

How far in advance should I book production staffing?

Earlier is always better—especially for peak seasons, major weekends, festivals, or large corporate programs where specialized roles (riggers, programmers, V1, systems techs, broadcast engineers) book quickly. That said, we can often accommodate short timelines depending on availability. The earlier we connect, the more options we have to assign the best crew, confirm call sheet details, and ensure a smooth load-in, show, and strike.
